This Cash Handling Policy is designed to ensure the financial integrity of the store, protect our team members, and maintain clear accountability for all cash transactions. Adherence to these procedures is a mandatory requirement of employment.
To ensure accuracy and accountability, only one person is permitted to operate a specific cash drawer during a shift.
The assigned cashier is the only individual authorized to take payments and give change from their drawer besides a member of leadership.
Sharing logins or allowing other team members to "hop on" your register is strictly prohibited.
If a drawer must be shared due to an emergency, it must be counted down and verified before the second person begins their shift.
The floor lead must verify the contents of the safe at three critical points during the day to ensure all funds are present:
Opening: Verify the starting safe balance and ensure all starting tills are correct.
Mid-Day Handoff: The morning lead and the incoming afternoon lead must jointly count the safe to confirm all deposits and change orders are accounted for.
Closing: The closing lead must perform a final count of the safe and record it.
Every cashier is responsible for the accuracy of their till.
Shift Start: You must verify your starting bank (e.g., $200) before ringing up your first customer.
Shift End: At the end of every shift, the drawer must be pulled and counted in a secure area (out of customer view).
Cashiers must reconcile their actual cash against the Point of Sale (POS) report.
We understand that small mistakes happen, but significant discrepancies must be investigated.
Reporting Threshold: Any cash shortage or overage of $5.00 or more must be reported immediately to the Store Manager.
An Incident Report must be filled out for any variance over this limit, detailing the potential cause of the error.
Consistent "small" shortages (under $5) will be monitored and may result in further training or disciplinary action.
The security of our store’s funds is a top priority.
Authorized Access: Never allow anyone to take money out of the safe—or tell you to take money out of the safe—unless it is the Store Manager or an explicitly designated Corporate Officer. If this were to happen it would be in person, and if you don't recognize the person, please contact your Store Manager immediately to verify.
Phone Scams: Be aware of "urgent" phone calls from individuals claiming to be "the owner," "police," or "delivery drivers" asking for cash from the safe. This is always a scam. HANG UP IMMEDIATELY.
If you receive a request for safe funds from anyone other than the Store Manager in person, deny the request and contact the Store Manager or the authorities immediately.
Large Bills: Use a counterfeit detector pen or UV light on all bills $20 and higher.
Keep it Closed: The cash drawer must remain closed between transactions. Never open the drawer unless a sale is being finalized. We do not cater to guests asking
Customer View: Count change back to the customer out loud to minimize errors and disputes.
